The Definitive Month-End Closing Checklist for Microsoft Dynamics 365 Business Central

A concise, step-by-step checklist for a clean, auditable month-end close in Microsoft Dynamics 365 Business Central: post, reconcile, lock the posting dates, then run the final reports.

The Definitive Month-End Closing Checklist for Microsoft Dynamics 365 Business Central

Business Central has no “Close Month” button. Microsoft describes period-end work as a set of recommended activities, not something the system forces. The formal Close Year action on Accounting Periods is for fiscal year-end only. A clean monthly close is a disciplined sequence: finish the postings, run the batch jobs, reconcile, lock the posting dates, and then run the final reports.

Without that sequence you get sub-ledger differences, distorted COGS, and backdated entries that change reports you have already issued.

Page and field names can vary by version and country localization. Search each item by name in Business Central and check the linked Microsoft Learn article for your version.

The order in one line: cut-off, inventory costing, adjustments, bank and FX, reconcile, tax, lock dates, final reports, archive.

Phase 1: Operational cut-off and sub-ledger posting

Make sure everything that belongs to the month is posted, and nothing is left in open documents or unposted journals.

Accounts receivable

  • Post shipped sales orders and invoices for the month.
  • Post sales credit memos and return orders.
  • Post all cash receipt journals up to the last day of the month.
  • Apply open customer ledger entries (unapplied payments and credit memos).
  • Issue reminders or finance charge memos if your credit policy requires them.

Accounts payable

  • Post all purchase invoices dated in the period.
  • Review received-not-invoiced lines on open purchase orders to decide what needs an invoice or an accrual.
  • Post item charges (freight, customs, insurance) and assign them to the right receipts.
  • Post all payment journals (checks, EFT, wires).
  • Apply open vendor ledger entries (prepayments and credit memos).

Inventory and manufacturing

  • Post pending item journals, transfer orders, physical inventory, and reclassification journals.
  • Change completed production orders to Finished, so output cost and variances can be finalized by cost adjustment.
  • Post assembly orders, and approve and post time sheets and job journals.

Phase 2: Inventory costing and G/L synchronization

Late invoices and item charges change cost after goods have been sold. Cost adjustment passes those changes to COGS.

  • Run Adjust Cost - Item Entries for all items. Even with automatic cost adjustment on, a full month-end run is a good safety net.
  • Run Post Inventory Cost to G/L (unless automatic cost posting is on). Use the test report first and fix blocked accounts or dimensions.
  • Open Inventory - G/L Reconciliation, set the filters, and choose Show Matrix to confirm inventory value entries agree with the G/L inventory, interim, and WIP accounts.

Do this before you lock the dates. Adjustment entries take the posting date of the entry they adjust. If that date is outside the allowed posting range or in a closed inventory period, Business Central uses the first allowed date instead. So if you have already moved Allow Posting From into the new month, the adjustment lands in the new month.

Phase 3: Fixed assets and monthly adjustments

Fixed assets

  • Post acquisitions and disposals for the month.
  • Run Calculate Depreciation with the posting date set to month-end, review the lines in the FA G/L Journal, and post.
  • Check that the Fixed Asset - Book Value report agrees with the FA cost and accumulated depreciation G/L accounts.

Deferrals, accruals, recurring journals

  • Review deferral schedules and the Deferral Summary reports, and confirm periodic deferral entries posted for the month. If you use Subscription Billing, check contract deferrals.
  • Post Recurring General Journals for:
    • prepaid amortization (insurance, licenses, rent)
    • accruals (utilities, audit fees, bonuses, unbilled services)
    • payroll and statutory provisions
    • reversal of last month’s accruals (use a reversing recurring method)

Phase 4: Bank and foreign currency

Bank reconciliation

  • Reconcile every active bank account on Bank Acc. Reconciliation: import the statement or use Suggest Lines, then match with Match Automatically, Reconcile with Copilot (where available), or Match Manually.
  • Post bank charges, interest, and direct debits that are only on the statement, then match them.
  • Post when the statement ending balance agrees with the balance to reconcile, and keep the posted statement as evidence.

Foreign currency

  • Enter month-end rates on Currency Exchange Rates, including the adjustment rate.
  • Run Adjust Exchange Rates for open customer, vendor, and bank entries. Use Preview Posting first.
  • For balances held directly on G/L accounts (for example foreign loans), run G/L Currency Revaluation from the Chart of Accounts and post the journal. Don’t use it for balances already handled by Adjust Exchange Rates.

Phase 5: Sub-ledger to G/L reconciliation and tax

Every control account must agree with its sub-ledger.

PayablesAged Accounts PayableAP control account(s)

  • If a sub-ledger and the G/L differ, check G/L Entries on the control account for manual postings that bypassed the sub-ledger, and confirm Direct Posting is off on control accounts.
  • Clear or explain suspense and clearing accounts: interim inventory (received not invoiced), direct cost applied, overhead applied, bank and payroll clearing.
  • VAT: reconcile VAT entries, prepare and submit the VAT Return, and run Calculate and Post VAT Settlement. The documentation shows settlement available from a return marked Accepted, so follow the order your country and tax authority require.
  • Intercompany: accept and post IC inbox and outbox transactions, reconcile due-to and due-from accounts, then run consolidation if you report as a group.

Phase 6: Close the dates (posting lockdown)

Monthly locking is done with posting date ranges, not with Close Year. The Closed field on Accounting Periods does not block posting.

  • General Ledger Setup: set Allow Posting From to the first day of the new month and Allow Posting To to its last day (or use date formulas such as -CM and CM).
  • User Setup: dates on a user’s line override General Ledger Setup. Check every user, clear old dates or move them to the new month, and keep a back-posting window only for the finance manager or controller until the reports are signed off. Then lock everyone.
  • Deferrals: if you use Allow Deferral Posting From/To, set them as well.
  • Inventory (optional): close the Inventory Period for the month, or set Earliest Allowed Valuation Date in Inventory Setup. A period can only be closed when there is no negative inventory and all costs in it are adjusted. Run the Close Inventory Period - Test report first.

Phase 7: Run the final reports and review

With the dates locked and everything reconciled, produce the reporting pack:

  • Trial Balance and Detail Trial Balance to archive the closing balances.
  • Financial Reports (formerly account schedules): income statement (actual vs budget and prior month), balance sheet, and cash flow.
  • Analysis by Dimensions: departmental and cost center results, and income statement entries with missing dimensions.
  • Variance review: unusual margins, spikes in operating expenses, negative balances, and anything you can’t explain.
  • Archive the reports (PDF or Excel) with the reconciliations, sign-offs, and bank statements.

If the review finds a late error, post the correction using the finance user’s back-posting window, rerun the affected reports, and then lock that user.
